The Membership/Retention Chair

President of WHPRMS

Requirements:

  • Must have been a member of WHPRMS for at least two years and have working knowledge of the organization.
  • Consideration will be given to professional expertise and involvement and
    service to the organization.

Job summary:
Processes and maintains all membership records and acts as the contact person for all WHPRMS membership inquiries. Works to recruit new members and retain existing ones.

Duties:

  • Maintains current membership file and database. Records should include items such as date of initial application, district, board positions held, leadership recognition status and other demographic fields.
  • Sends welcome e-mail or letter to new members with information about services and opportunities.
  • Forwards district representatives a list of new members and members who did not renew in their areas for follow-up.
  • When requested, sends Excel spreadsheet to board members with specialized data.
  • In December, works with Website Chair to send updated renewal notice to members. Processes renewals as they arrive and sends appropriate reminders as renewal deadline approaches.
  • Forwards all checks to the treasurer in a timely manner.
  • Forwards updates to the member list to the Web site chair.
  • Responds to all membership inquiries.
  • Assesses membership applications, determines status of applicant and reports to the board any action taken on new members. If the membership chair is unsure about the status of an applicant, the decision is to be referred to the board.
  • Provides membership information to non-members at WHPRMS programs.
  • Maintains membership display and uses it to solicit new members at conferences and wherever appropriate.
  • Keeps membership benefits sheet up-to-date for the website and for district representatives and other board members.
  • Solicits new members through membership drives, college campus mailings, etc.
  • Provides mailing labels to members wishing to mail information to the members at large.
  • Provides mailing labels for commercial use to members or non-profit groups for a fee of $20 per set.
  • Provides mailing labels for commercial use to non-members for a fee of $50 per set.
  • Communicates with board of directors regarding any information of interest to WHPRMS members.
  • Efficiently utilizes available resources, seeking board approval for any unbudgeted activities/expenditures.
  • Performs other related duties as requested by the president.
  • Revises planning materials and presents to new chair.
  • Updates job description if needed and forwards to president.
