The Communications Review Chair

Term:
Two years—first year as co-chair, second year as chair
Requirements:
Video production/presentation experience and resources a plus. Must have been a member of WHPRMS for at least two years and have working knowledge of the organization.
Consideration will be given to professional expertise and involvement and service to the organization.
Job summary:
Organizes and conducts Communications Review in a professional and cost-effective manner to recognize the professional achievements of members. Coordinates reciprocal judging with other organizations as needed.
Duties:
- February—April
Reviews previous call for entry and recommends changes to board.
- April
Designs call for entry brochure.
- April
Sends teaser e-mail to members.
- March—May
Recruits judges for reciprocal judging (if needed).
- May
Provides information to board for inclusion on web.
- May
E-mails call for entry pdf brochure.
- May
Sends confirmation to judges for reciprocal judging (if needed).
- May
Works with WHA (or remote judging location) on hotel, food, etc.
for judging day (if needed).
- May—June
Coordinates Webinar with previous year's Judges Choice award winners, to focus on "Submitting a Winning Entry".
- July
Confirms judges for WHPMRS Communications Review.
- Early August
Entry deadline.
- August
Compiles entries in Excel document, tallies checks and arranges by category in boxes. Makes sure Excel document content is correct and consistent. Used for certificates, plaques, e-mailing winners, and award's presentation.

E-mails (or sends) judging and entry forms to judges for review.

Copies judging forms.
- Late August
Judging at WHA (or remote location).
- Enters points, awards
- Enters names in form letter to CEOs to send in October
- Writes press release for Web

E-mails congratulations to winners.
- End August
Orders Excellence plaques from Sharing/Website Chair (one per entry) and creates certificates (one for each person listed on the certificate—merit and excellence).

Sends thank you e-mail to judges.
- September
Gets president to sign all certificates.

Develops awards presentation.
- Builds in pause after each award for recognition
- Lists name of entry, organization and city on slides but also
announce entrant's names
- Showcases creative for every entry
- October
Presides over awards presentation at conference.

Submits reimbursement to treasurer for expenses.
- After WHPRMS Annual Conference
Posts award winner list on website.
- After WHPRMS Annual Conference
Sends letter of congratulations to CEOs
Other Duties:
- Communicates with board regarding any information of interest to WHPRMS members.
- Efficiently utilizes available resources, seeking board approval for any unbudgeted activities/expenditures.
- Performs other related duties as requested by the president.
- Revises planning materials and presents to new chair.
- Updates job description if needed and forwards to secretary.
